Privacy Notice

This notice explains how Lucon House Limited (“we”, “us”), operator of the LUCON EVENTS platform, handles personal data collected when you register for, or attend, an event that uses LUCON EVENTS. It is written in line with the Nigeria Data Protection Act 2023 (NDPA).

For each event, the event organiser named on the registration page decides why your data is collected, and is the data controller. Lucon House provides the platform and processes the data for the organiser, as the data processor.

1. What we collect

2. Why we use it (lawful basis)

We do not sell your data, and we do not use it for our own marketing.

3. Who can see it

Only the organiser's authorised staff, according to their role (for example, registration desk staff see only what they need to check you in), and Lucon House personnel who operate the service. Data is stored with our infrastructure provider (Supabase) using encryption in transit (HTTPS/TLS) and at rest. Where data is stored outside Nigeria, we rely on the safeguards the NDPA requires.

Help assistant

Before chatting with the website’s Help assistant, we ask for your name and your email or phone number. We keep these, together with the topics and questions you type, so we can help you, follow up on problems and improve our service. If you tick “Keep me informed about future events”, we may also send you news about events organised through Lucon House; you can ask us to stop at any time.

To answer typed questions, the assistant sends your question, your first name and the page you are on to our AI provider (Google Gemini, or Anthropic Claude). On Google’s free service, Google may use these questions to improve its products, so please do not type passwords, card details or other sensitive information. If you choose “Talk to a person”, your message and the conversation are emailed to Lucon House.

To see or delete your Help assistant details, email events@luconhouse.com.

Notifications on your phone

If you turn on notifications from your ticket page, we store a technical address for your phone’s browser so we can send you event reminders, the organiser’s announcements and meeting messages. The message itself is fetched from our own system; the phone makers’ notification services (Google, Apple, Mozilla) only receive an empty “wake up” signal. You can turn notifications off at any time from your ticket page or your phone settings.

Organiser accounts

If you create an organiser account on our /start/ page, we keep your name, organisation, phone number and email address, your events and your payments to Lucon House, so we can provide the service, check new events, contact you about them and keep financial records as the law requires. Payments are processed by Paystack; we never see or store card details. If you ask the website to suggest a colour theme, the words you type and the main colours of your logo are sent to our AI provider (Google Gemini) to make the suggestion; no guest information is ever sent. Logos, signature pictures and colours you upload are shown on your event’s pages, badges and certificates.

If your event receives ticket money through LUCON EVENTS, we keep the bank name, account number and account name you add for the event, and share them with Paystack, our payment provider, so it can pay card ticket sales into that account. Only the last four digits of the account number are shown on screen.

If an event is also online, registered guests can watch it from their ticket page. The video is the organiser’s YouTube live stream, played in YouTube’s privacy-enhanced mode; when it plays, YouTube (Google) receives your device’s connection details under its own privacy policy. Zoom meetings open in Zoom’s app or website under Zoom’s own terms. We record when you watch and for how many minutes, so the organiser can count online attendance and issue certificates. On hybrid events we also keep whether you chose to attend in person or online.

Sponsors and exhibitors

If you let a sponsor or exhibitor scan your badge at their booth, or tap “Send my details” for a sponsor on your ticket page (you are asked to confirm first), that sponsor receives your name, organisation and job title, and your email address and/or phone number only where the organiser has allowed it. Their team may also record their own notes and answers about your visit. Each sponsor then uses your details under their own responsibility and must follow the NDPA; you can ask them directly to stop contacting you or to delete your details.

Session attendance and certificates

If an event records attendance at sessions (for example for professional CPD points), we record which sessions you checked in to and when, either when you scan the QR code at a session door with your phone or when event staff scan your badge. This is used to produce your certificate of attendance and to give the organiser attendance numbers. Your certificate has a certificate number and a QR code. Anyone who has your certificate can use them to confirm it is genuine: the check shows only what is printed on the certificate (your name, the event, the date and your CPD points), never your email address or phone number.

WhatsApp messages

If an event uses WhatsApp, we send your ticket link and a reminder before the event to the phone number you registered with, from the LUCON EVENTS WhatsApp number (+234 817 366 9870). The registration form tells you this before you register. The messages go through Meta’s WhatsApp service, which receives your phone number, your first name and the event details in the message. We keep a record of each message (phone number, delivery status and time) for up to 6 months. You can stop WhatsApp messages at any time from your ticket page, or by replying STOP; reply START to turn them back on. If you write to our WhatsApp number, we send one automatic reply explaining how to get help.

Networking and meetings

If an event offers networking, you choose whether to appear in its guest directory. Other registered guests of the same event can then see your name, job title, organisation and what you write in your networking profile (short bio, interests, LinkedIn link). Your email address and phone number are never shown in the directory. They are shared only with a guest whose meeting request you accept, and only if you leave “Share my email and phone” switched on. You can remove yourself from the directory at any time from your ticket page. The organiser can see who is listed and the meetings booked, and can hide a profile.

Event challenge (points and leaderboard)

If an event runs a challenge, your points are worked out from what you already do at the event (checking in, sponsor booths that scanned your badge, sessions you checked in to, polls, questions, your networking profile, meetings and secret codes you type). If the organiser shows the leaderboard, it shows your first name, the first letter of your surname, your organisation and your points to other guests and on the event screen. You can hide your name at any time from your ticket page. The organiser sees the full ranking with your contact details so they can announce and reach prize winners.

Sponsor banners and suggestions

If a sponsor’s banner appears on your ticket page, we count, once per day, that you saw it and how many times you tapped it. The sponsor only receives totals (for example “120 views, 14 taps”), never your name or contact details. “People you should meet” suggestions are worked out from your networking profile, the sessions you chose or attended and the booths you visited; the people suggested to you see only what is in the directory, never your email or phone.

Live polls, Q&A and feedback

When you vote, ask a question or send feedback on an event’s “Polls & Q&A” page, we store your answers with a random code kept on your phone, so each phone (or each registered guest) votes once. If the event is for registered guests only, your answers are linked to your registration. Questions are shown to other guests and on the event screen with the name you type, or as “Anonymous” if you leave it blank. The event organiser can see and download the questions and feedback answers. They are kept with the event data (see section 4).

Prayer requests, testimonies, quiz and notes

Prayer requests you send from the “Share” tab are private: only the organiser’s team sees them (for example the pastor and the prayer team), and they are never shown on screen or on a livestream. Your name is only shown to that team if you type it and choose “Show my name”. Prayer requests are deleted automatically 30 days after they are sent, and the organiser can delete them sooner. Please do not include other people’s private details without their permission.

Testimonies are read by the organiser’s team first. If they choose yours, it may be shown on the event screens and on the livestream or recording, with your name only if you chose “Show my name”. The team can remove it at any time.

Live quiz: we store your answers, how fast you answered and your points with the random code on your phone (or your registration). The leaderboard on screen shows the name you type, or “Guest” and four letters if you leave it blank. Sermon notes you type stay on your phone only; the outline and verses come from the organiser. If you save your notes as a PDF or send them on WhatsApp, that copy is yours.

AI quiz from today: if the organiser turns on listening in Lucon Studio, the words spoken by the preacher or speaker are written down on the organiser’s laptop (not by LUCON EVENTS) and forgotten at midnight. Only when the organiser clicks “Write the quiz” are those words, the verses shown and the notes sent to the AI service (Google Gemini, or Anthropic Claude if the organiser chose it) to suggest quiz questions. Nothing about the audience is sent.

Live captions and translation: if the organiser turns on captions in Lucon Studio, Google Chrome’s speech service turns the speaker’s words into text on the organiser’s laptop. The sound is not recorded or kept. If the organiser chooses Hausa, Yoruba, Igbo or French, the recognised text (never the sound) is sent a few lines at a time to the same AI service used by the help assistant (Google Gemini, or Anthropic Claude if the organiser chose it) to be translated. Only the last few caption lines are kept, so that guests can read them on the event’s Live page; they are deleted as soon as captions are turned off, and are not shown once the Studio stops sending them.

After-show recap: after a programme the organiser can ask the AI (Google Gemini) to write a summary, posts and choose clips. For that, the written transcript of what was said on stage (from live captions) and the titles shown on screen (running order, Bible verses, songs, speakers’ names) and approved testimonies and questions are sent to Google to be processed, as text only. Clips are cut on the organiser’s laptop from their own recording; no video is uploaded. The show log (what was on screen and when) stays on the organiser’s laptop.

Auto director: if the organiser turns on “Skip a camera with nobody in it” in Lucon Studio, a free AI model is downloaded once to the organiser’s laptop (from Google’s MediaPipe service) and checks the cameras’ pictures there for people. The pictures are not sent anywhere and nothing is kept.

Guests on stage and the online Room: if the organiser invites you as a guest, or brings you to the stage from the Room, your camera picture and microphone sound go live through Cloudflare’s Realtime service to the organiser’s studio and, when you are put on air, into the programme (which may be streamed and recorded by the organiser). Cloudflare only passes the picture and sound on and does not keep them. In the Room, the name and city you type, your chat messages, reactions, raised hand and the time you joined are kept so the organiser can run the programme; the Room page also notes, by a random code on your phone, that you are watching (to count people and keep the room size). The organiser can download these (chat, questions, who joined) after the event. They are erased from LUCON EVENTS automatically a few days after the Room closes (2 days unless the organiser chooses otherwise), or sooner if the organiser erases them.

Listening in your language: if the organiser turns on LISTEN in Lucon Studio, the speaker’s sound (and the voice of any interpreter the organiser invites) is sent live to guests’ phones through Cloudflare’s Realtime service, which only passes the sound on and does not keep it. Nothing is recorded. For some languages an AI voice reads the live translation: the translated text is sent to Google Gemini to be turned into speech (if that is not available, the guest’s own phone reads English or French aloud). To show the organiser how many people are listening, the Live page notes which language a phone is listening to (by a random code on the phone, not by name); these notes are deleted after 10 minutes.

Comments from YouTube or Facebook that the organiser chooses can be shown on screen with the name shown on that platform. They are read on the organiser’s laptop and are not stored by LUCON EVENTS.

4. How long we keep it

Event registration data is kept for 12 months after the event, unless the organiser needs it longer for a legal or contractual reason, and is then deleted or anonymised.

5. Your rights

Under the NDPA you can ask to access, correct or delete your data, object to or restrict its use, withdraw consent, and ask for a copy in a portable format. Contact the event organiser, or us at events@luconhouse.com. We respond within the time the law requires. You may also complain to the Nigeria Data Protection Commission (NDPC).

6. Security

We use role-based access, two-step verification for administrators, automatic sign-out, audit logging of sensitive actions, and secure hosting. No system is perfectly secure. If a breach occurs that affects your rights, we will notify you and the NDPC as the law requires.
